1. REGISTRATION INFO

The Edmonton Sport & Social Club is an adult league; all players MUST be at least 18 years old.

REGISTRATION TYPES:
Team: Build your own roster and decide how many players to have on your team.
Small Group: You have 5 to 8 people who'd like to register together but are not a full team based on the standard roster for a particular sport; in these cases, we will help to complete the team but there is no guarantee.
Individual/Friends: You have 1 to 4 people who'd like to register together for a sport that has a standard roster greater than the number of people you are registering with; in these cases, we will help to complete the team but their is no guarantee.

PAYMENTS:
All Teams, Small Groups and Individuals must pay online in order to register. If you cannot pay online, registrations must be submitted and paid in person at the Edmonton Sport & Social Club office located at 17406-106A Ave; we accept credit, debit, cash or cheque. Office hours are:

Monday: 8:30am - 7:00pm
Tuesday-Wednesday: 8:30am - 6:00pm
Thursday: 8:30am - 7:00pm
Friday: 8:30am - 4:30pm
Saturday, Sunday and Holidays: CLOSED

Cancellations:
In order to receive a full refund, cancellations must be submitted 2 business days prior to the registration deadline applicable to that season. After this time, no player or team will be eligible for a full or partial refund or credit.

If you register after the cancellation deadline, you are eligible for a refund anytime prior to receiving a placement confirmation from the ESSC; once a confirmation has been sent, the registration is no longer eligible for a full or partial refund or credit.

Sub Registration Policy: Sub registration opens, for each season, the day after the registration deadline and will remain open for the duration of that season.

Subs can register and play for FREE but there is no guarantee they will be contacted to play. By registering as a sub, you are agreeing to have your contact information given out to any team/player who contacts the SSC in need of a sub(s).

As a sub, you are required to complete an online waiver prior to playing and you must be familiar with the rules applicable to your sport. Subs are expected to abide by the same SSC rules and policies as all other participants and risk the same consequences if they fail to do so. Subs are expected not to play above the level of the person they are replacing or the general playing level of that division.

2. WAIVERS

The ESSC requires all players to sign a waiver prior to playing in any SSC activity and for every new season in which they participate; this includes all members of your team and any subs you may bring in. Click here to complete the waiver.

3. INDIVIDUALS AND SMALL GROUPS

SMALL GROUP AND INDIVIDUAL PLAYER INFORMATION

How will I get put on a team? The ESSC will group together all individual/small group registrants in the same league (sport/day/division) to create a full team which will play together for the duration of the season. If there are not enough individual/small group registrants to complete a team, you will be contacted regarding moving to a different league (sport/day/division). If we are unable to place you, you will receive a full refund.

When do I find out if I am on a team? The ESSC will start putting teams together as registrations come in. When, or if, your singles team is finalized, you will be emailed a roster that will have the contact information for your teammates. This will likely occur two days before your first scheduled game.

What happens if you are unable to place me on team? You will be issued a full refund.

What happens at the first game?

The schedules will be posted to the website ~2 days prior to your first game. If it is not stored at the facility, the ESSC will provide basic playing equipment to either the EC, GC or to one person on each team (depending on the sport). If you are the player with equipment, you will need to bring it to each game. Otherwise, you need only to bring yourself and be dressed appropriately. Some sports require each player to bring a light and dark colored shirt to each game, the rules for your sport will let you know if that is applicable for you. Since it will be difficult to tell who your teammates are, you will just need to ask any players as they arrive if they are on your team according to the team name found on the roster you will have received 2 days prior.

Rosters:

1. The ESSC will form team rosters based on the number and sex (F/M) of the registrants. In all cases, we will put an adequate number of players to allow optimal playing time will helping to prevent defaults; singles' teams make up ~85% of defaults each season. If you feel your team does not have enough players, it is likely because there were not enough registrations; in these cases, you are encouraged to recruit extra players and have them register online.

2. SMALL GROUPS: The ESSC determines the final number of players on each roster. In most cases, we are unable to accommodate specific requests. If you want to control the number of players added to your group, you should recruit players and register a full team.

4. TEAM CAPTAIN RESPONSIBILITIES

Reporting Scores

1. BEACH and DOUBLE OPPONENT INDOOR VOLLEYBALL, BADMINTON, FLAG FOOTBALL and ULTIMATE: Team Captains do not have to report the scores directly to the ESSC, this is the duty of the EC (Event Coordinator); however, please make sure you record your scores and sportsmanship rating (when applicable) on the score sheet provided so that the EC has proper record of your game results. Team Captains should always confirm the score with each other before it is recorded on the score sheet.

2. FLOOR HOCKEY, BASKETBALL, DODGEBALL (Beach and Indoor), INDOOR, TURF SOCCER and OUTDOOR GC'd SOCCER: Team Captains do not have to report the scores directly to the ESSC, this is the duty of the GC (Games Coordinator); however, please make sure that the score is accurate and that you report your sportsmanship rating to the GC.

3. OUTDOOR SOCCER, SLO-PITCH, KICKBALL, SQUASH and SINGLE OPPONENT VOLLEYBALL: Team Captains must report scores online by midnight the day after your game. If you do not report your score on time, the sportsmanship rating for your team will automatically be changed to "0" and the rating for your opponent will be entered as "+1".

How to report scores:

1. Confirm the score with the other captain after the game or between each inning.

Permits

The ESSC has permits for all facilities we use (with the exception of private facilities). Generally we are able to access the facility 15 minutes before our permit time.  However, if there is another user group at the facility when you arrive, please do not interrupt their play.

Permits are distributed as follows:
1. Dodgeball, Indoor Soccer, Floor Hockey, Basketball - The GC will have the permit
2. Volleyball, Badminton, Ultimate, Flag Football - The EC will have the permit
3. Slo-pitch, Outdoor Soccer, Kickball, Squash and Single Opponent Volleyball - TCs are responsible for printing the permit off their schedules page and bringing to to their game(s).

If you run into another user group at the facility, show them the permit and politely ask that they leave the facility. We have booked and paid for every facility that we send you to, so you must not back down when confronted by another group.

5. ROSTERS AND SUBS
  • When registering a full team, although the registration form limits your team to 11, there is no maximum limit to the number of players that you can have on the roster. After registering a full team, captains are not required to inform the ESSC of additional players.
  • In the case of squash, full teams and singles teams are limited to 2 players but there is no female minimum.
  • Please see the rules section for the sport that you are registering for to view specific roster requirements.
  • A sub-list can be requested from the office. A team may bring in subs that are not listed on the roster. However, if you recruit a sub, it is your responsibility to ensure that they are ready to play (know the rules, will play at the proper level and have submitted a waiver).
  • In the spirit of sportsmanship, captains are expected to replace players with a person of a similar skill level. Bringing in “ringers” for regular season and particularly for playoff games is discouraged.
  • If you are playing in a league where there are other ESSC teams playing before you, your team may borrow players under this condition: to increase your team to a minimum full line-up. The ESSC considers it to be an unfair advantage if a team borrows players to bolster their line-up.
  • Individual team rosters will be e-mailed out 48 hours prior to game one.

    For Playoffs:
  • To help avoid defaults during playoffs, teams, excluding the top 4, are welcome to bring in subs who have not played at least one regular season game with the team. However, these subs must still be of the same skill level. The top 4 teams can only have subs who also played at least one game in regular season.

6. DEFAULTS

All teams pay to play. The default policy is in place to deter teams/players from missing games – it is unfair and unsportsmanlike to the other team.

7. PLAYER MEETINGS

All team captains, designated group leaders, or singles MUST attend the Players meeting when required to do so. The reason for this is to make sure that all players are informed about SSC rules, benefits of playing with the club and to clarify any questions or concerns that players may have. Sports in which we host a players meeting vary season to season, you will be informed at the time of registering whether or not a players meeting is being held for your sport during that season and whether or not you are required to attend based on past enrollment with the club. We do not hold Players Meetings for Badminton or Double Opponent/Beach Volleyball.

Any team which was required to do so but failed to attend the Players Meeting, will automatically recieve negative spirit points in their first game regardless of what they were rated by the GC or opponent.

8. RULES

All players must know the rules before playing - NO EXCEPTIONS! If you are a new team or new player to the league this is VERY important as our rules are different from other leagues.  The ESSC is a self officiated league; you are responsible for calling your own infractions.

1. SPORTSMANSHIP

The ESSC expects all players who choose to play with us to exhibit 'ESSC Spirit'. 'Spirit of the Game' means coming out each week with a 'fun first, winning second' attitude. The ESSC believes that encouraging good sporting behaviour is why players join and remain in our leagues. There is no tolerance for players who do not respect the ESSC sportsmanship policy. 2. WEATHER POLICY

Living in Alberta means there is likely to be unpleasant weather, even during the warmer months. Weather conditions can also vary significantly from one field to the next. Because of this and because the SSC hosts hundreds of teams and requires a lot of fields/ gyms, (thereby making rescheduling very difficult), we are reluctant to cancel games anytime fields are open or road conditions are poor in the case of indoor sports. Rather, we strongly prefer games to be played in adherence to the original schedule. As such, there may be days when teams are expected to plan appropriately and play despite poor weather conditions.

3. DIVISIONS

In all sports, the ESSC reserves the right to move teams to a division better suited to their level of play, regardless of whether the team has registered early. Some sports may begin the season with a few weeks of seeding to help place teams into the proper division for their skill level.

4. SCHEDULES & STANDINGS

Schedules will be posted online ~2 days prior to your first game. If a schedule is not posted you may assume it is not yet complete; there is no reason to call the office.

Many leagues may experience schedule changes or day-of game cancellations throughout the season. Learn more here.

The ESSC will not cancel games for any major sporting event other than if the Edmonton Oilers are in game 7 of the Stanley Cup final.

Standings will be updated within 72 hours of completion of your game.

5. ROLES OF GCs AND ECs

Games Coordinators:  GC’s are ESSC employees. Players must understand the role of GC's and also know what is expected of every player in the league.  The following is a list of roles that the GC will perform during your game:

Manage Facility + Equipment Set-up

Conduct Pre-Game Intros - the GC will call in both captains for introductions, confirm which colour each team is wearing, define any particular court/gym rules, and provide league updates and other special notes.

Manage Time - the GC will manage the game time on either a clock or their watch. They will ensure that the game starts at the scheduled start time and manage the time for the remainder of the game.

Keep Score - the GC will keep track of the score.

Intermission - the GC will act as a 'mediator' for the captains during the intermission, they will also provide feedback to both teams at this time.

Report Results -
the GC will report game results to the ESSC after each game

Officiate – the GC will call fouls or penalties when needed.  The GC is NOT a referee, ESSC leagues are all self-officiated.  However the GC will assist in keeping the game under control by calling infractions that are not called by the teams and by providing constructive and positive feedback to the players throughout the game.

The GC is expected to eject players who are a threat to the fun or safety of the game. The GC is obligated by the ESSC to step in and assign a game misconduct if warranted by a player's actions. A GC cannot allow a player who is jeopardizing the safety or fun of other players to continue playing. See the rules for more details.

In some cases a GC may not be present to monitor the game. In these cases, the team captains are responsible for keeping time, keeping score and making sure that their own players are playing within the guidelines of the ESSC. The captains need to make sure that the equipment is returned to the correct location and report the score and sportsmanship ratings to the ESSC the following day by noon. Event Coordinators: Some leagues do not have GCs and are instead managed by Event Coordinators. These leagues include: beach and indoor volleyball, badminton, flag football and ultimate.

ECs are registered players in the league. Their main role is to bring equipment and score sheets, update players with pre-game announcements and report results to the ESSC. 6. EQUIPMENT

For Floor Hockey, Indoor/Turf Soccer, Basketball and Indoor/Beach Dodgeball the Games Coordinator (GC) will bring the appopriate equipment. Players are only responsible for bringing the proper attire (dark and white t-shirt) and footwear.

For Squash, a coordinator will be at the first game to supply balls. Teams are responsible for bringing their own racquet

For Flag Football, Ultimate, Badminton, Beach and Double Opponent Indoor Volleyball, an Event Coordinator (EC) will bring the equipment required for each game. Players are only responsible for bringing the proper attire (dark and white t-shirt) and footwear.

For Soccer, Slo-Pitch, Kickball and Single Opponent Indoor Volleyball
each team must pick up the required equipment, from the ESSC, prior to the start of the season. Deposits are as follows:

Soccer - $30
3-Pitch Slo-Pitch - $50 (teams must supply their own gloves and bats)
Traditional Slo-Pitch - $100 (teams must supply their own gloves and bats)
Kickball - $50
Single Opponent Volleyball - $60

7. FACILITY INFORMATION

FACILITY COMPLAINT POLICY

The SSC rents facilities from the City or private establishments. The facility staff or the City may revoke our rental privileges at any time. Any player or team who causes The Club to receive a complaint may face a $100.00 fine and may be suspended or ejected from the league. To help players better understand the levels of facility complaints, we have outlined them below.

Drinking in a gym/at a field, in any part of a school or private facility, and in parking lots is strictly prohibited. This behaviour will result in a $100.00 facility complaint fine.

Minor Complaint
A minor complaint is one that is issued by any SSC staff, facility staff, neighbourhood resident, opposing team or City employee that will not result in major repercussions to the SSC. A warning letter will be sent to the team indicating that if we receive any future complaints, this would be considered to be a major or severe complaint. The team may also face a $100.00 fine and may be requested to send a letter of apology to the applicable party prior to being permitted to continue participation in the league.

Major Complaint
A major complaint is one that is issued by any SSC staff, facility staff, neighbourhood resident, opposing team or City employee that will likely result in major repercussions to the SSC, or if it is a team’s/player’s second offense. The team will be contacted by the SSC, they will likely be fined $100.00 which must be paid before their next game and/or face a suspension. Any major complaint resulting from damage to a facility or it's contents, would also require the negligent team to be accountable for any fees necessary in order to repair the applicable damages.

Severe Complaint
A severe complaint is one that is issued by any SSC staff, facility staff, neighbourhood resident, opposing team or City employee that results in major repercussions to the SSC, or if it is a team’s/player’s third offense. The team will be contacted by the SSC, they will be fined $100.00 and will be ejected from the league without a refund. Any severe complaint resulting from damage to a facility or it's contents, would also require the negligent team to be accountable for any fees necessary in order to repair the applicable damages.

GYMS

Gyms are rented from the City of Edmonton, Parks and Recreation or are private facilities. Weekday start times (Monday to Friday) may range from 6:00PM to 11:00PM. Sunday start times will range from 8:00AM to 10:00PM. During the week you can expect most games to be scheduled for later in the evening due to early slots being reserved for youth activities. Please see more below on ESSC expectations regarding school and/or private facility use.

Permits: The ESSC has booked and paid for each facility that is scheduled for a game. Expect the schools to be locked until 15 minutes prior to the start of your scheduled game time. If you arrive early and the doors are locked, please wait outside until the caretaker comes to unlock the door or until the Games Coordinator (GC) or Event Coordinator (EC) arrives.

Treat The Facilities Right: All players MUST respect the facilities, building, property and the caretakers. Gym use is a privilege that should not be taken lightly. Please be kind to the caretakers in all circumstances and please treat the school as you would want someone else to treat your home. If you have any comments about your school, please address them with the ESSC staff the following day by sending an email to info@edmontonsportsclub.com.


FIELDS

Fields are rented from the City of Edmonton, Parks and Recreation or are private facilities. The ESSC is committed to upgrading our fields if and when they become available. If you notice any problems at your field (gravel, sprinkler heads, etc) please notify your EC and/or contact the ESSC directly at info@edmontonsportsclub.com. Any potential hazards should be marked with something (shirt/hat/towel) so players can avoid that area during game time.

Attention Soccer, Slo-Pitch, Kickball and Single Opponent Indoor Volleyball Players:
Please print (from your Schedules page) your permit and bring it to each game. In the event another user group is at the facility, present the permit to resolve any conflicts.

Permits: The ESSC has booked and paid for every field that is scheduled for a game. EC’s or team captains will have copies of the permit to prove that the ESSC has the field rented, so please wait for your EC or team captain if there are non-ESSC players on a field. The only time you may arrive at a field that is already in use is if you are playing in a later game with ESSC teams playing early.

Treat The Facilities Right:

1. Please don’t ‘mark’ your fields: Do not urinate or defecate on trees/bushes or between parked cars. Port-a-potties are not provided by the City for city fields so plan ahead! It’s illegal to pee or defecate on public property.

2. Property damage: Players are responsible for property damage.

3. Alcohol: Consumption of alcohol is not allowed at the fields or in parking lots; players caught violating this by-law are subject to fines from the City and/or the SSC.

4. Smoking: Smoking within 10 meters of a playground or sports field is prohibited. Any player caught violating this by-law may be subject to City of Edmonton fines.

5. Be respectful: To homeowners, police, by-law officers or anyone else who questions your behaviour. Any players and/or teams who are the subject of complaint lodged by someone who has approached them at the play field will be ejected from the ESSC leagues. If you are concerned about being approached, you may politely request a name and contact number so that the ESSC may follow up.

6. Private facilities: These facilities may have their own rules regarding conduct on the fields and in their clubhouses. Please ensure you are following the rules outlined by each facility. Should a private facility lodge a complaint, players cited in the concern will be ejected from the league and may be fined $100.

Underage Spectator Policy:

The SSC is an adult-only league; all players must be 18 years of age, or older, before they can participate in any SSC league or event. As such, our Liability Insurance covers adult participants, spectators and employees only.

Players are discouraged from bringing underage spectators to any SSC league or event that is held in a gymnasium. Gyms offer a confined area where balls and other objects are moving quickly and at times, unpredictably.

If a parent/supervisor/guardian chooses to bring an underage person to any SSC venue (particularly an indoor gym), they must be supervised at all times and cannot loiter in hallways, entrances, washrooms etc. of indoor facilities. Supervisors are responsible for ensuring minors do not disrupt the activity or other patrons of the facility.

All liabilities associated with any minor(s) present at a facility will be the sole responsibility of the parent/supervisor/guardian of the minor(s).

4. LEAGUE CHAMPS

League Champs will be awarded Champ T-Shirts, handed out at their respective Season Ending Party. Teams must attend to receive their shirts. All league champs must submit a t-shirt order following the completion of their season. The order form is accessible on all Playoff Schedules.

5. PRIVACY POLICY

The SSC respects and protects the privacy of our players. The SSC will not sell, trade, or disclose to third parties any user details derived from the registration for a SSC service - including user names and addresses - without the consent of the user (except as required by law or in the case of imminent physical harm to the user or others). Sub and individual registrants agree that their information will be given to teammates only for the use of participating in the SSC.

The SSC will also not exchange user information for the use of contacting fellow participants in the case of rainouts, game rescheduling, score discrepancies, sportsmanship issues or for any other reason without consent from both users.

When the SSC uses agents, contractors or companies to perform services on its behalf, the SSC will ensure that the company protects your information consistent with this Policy.

A user may choose not to receive direct marketing communications from the SSC by contacting the SSC office with this request. Upon such notification, the SSC will remove the user from their distribution list. You may contact us via phone (780-429-4263) or by email info@edmontonsportsclub.com.

6. TEAM NAME POLICY

Each team registered with the SSC is responsible for ensuring their team name and/or logo is neither inappropriate nor derogatory in a way that may offend spectators, opposing teams, GCs, ECs or facility staff etc. As a general rule of thumb, please do not include swear words, racial slurs or blatant sexual references in your team name.

If the SSC deems your team name, your team logo, or any nickname used, as inappropriate, you may be required to change it at any point before or during the season. If you are unsure of the appropriateness of your team name please do not order jerseys without first speaking with an SSC rep. In the event that your team name or logo results in a complaint, you or your team may be subject to the facility complaint fine. For the full facility complaint policy, click here.

7. LOST and FOUND POLICY

All players are responsible for any belongings they may bring to a facility and should ensure they take everything they brought with them when they leave a gym or field.

In the event that an item of value (cell phone, keys, electronics etc) is left behind, Coordinators are instructed to take the item with them when they leave. At their convenience, they are asked to either report it to the SSC staff or drop it off at the office. In these cases, players may contact the office to see if their lost item was returned or reported (please do not contact the office the morning after your game – it is unlikely that the Coordinator has contacted us that soon; allow a few days to pass before calling or emailing).

Items such as water bottles, t-shirts and those of lesser value are not as likely to be picked up because they are generally easier to replace and are difficult to distinguish between belonging to an SSC player versus a student at the school or another user of the facility.

If the SSC has, or knows of  the lost item, we will coordinate having it returned to the player. Players should not contact schools directly regarding lost items. The SSC will keep lost and found items at the office for the duration of the season during which it was returned. After that time, all items will be either donated or discarded. If a player has contacted the office about an item, it will be held until pick-up.
